Everyone has the same models. The difference is what you feed them.

Your competitors licence the same assistants from the same vendors and get the same general answers. The only durable advantage is your own organisational memory: your decisions, precedents, specifications and hard-won context, in a state a system can use. That asset does not arrive with the licences.

Most organisations are further from it than they think. Every meeting is transcribed, every decision summarised, several versions of each document exist and nothing marks which is current. Point retrieval at that and you get confident answers from superseded sources, which is worse than no answer at all. This audit establishes exactly where you stand before anyone spends money building on the foundation.

    Not the systems you were told about, the ones people really use. Shared drives, inboxes, chat channels, recorded meetings, the spreadsheet on somebody’s desktop that runs a critical process.

  • What is authoritative

    How many versions of each key document exist, which one is current, and whether anything in the estate says so. Most organisations cannot answer this for their own policies.

  • What a model was drafted

    Which material was AI-generated and never checked by a person. This matters because model output that gets filed becomes source material for the next answer, and errors compound quietly.

  • What an assistant retrieves today

    We put real questions from your business to your current setup and record what comes back, including which superseded document it cited and how confidently it did so.

  • Where the same thing has three names

    Entity resolution across systems: the client, asset, site or project that appears differently in four places, which is what stops reporting and retrieval working across them.

  • What you should not be keeping

    Recorded meetings and transcripts are discoverable records containing personal data. We identify what is being retained without a policy, and what a subject access request would currently oblige you to produce.

    Read-only access to the systems in scope, and short conversations with the people who produce and consume the material. We work from what exists, not from a wish list.

  2. Analysis and retrieval testing

    Automated profiling of the corpus for duplication, currency and provenance, then structured testing of what your assistant returns for questions that matter.

  3. Findings and plan

    A written report and a working session to walk through it. You keep the report whether or not you do anything further with us.

What it is not

This is a diagnostic, not a build. We do not migrate content, deploy an assistant or restructure your systems during the three weeks. Keeping the scope tight is what lets the price be fixed and the report be honest: we are not assessing work we have already been paid to deliver.

It is also not a procurement exercise. If the finding is that your existing tooling is adequate and the problem is a retention policy nobody wrote, that is what the report will say.

Who it is for

Organisations that have adopted AI assistants across a workforce, are producing transcripts, summaries and generated documents at volume, and are either about to build internal retrieval on top of it or have built it and found the answers unreliable. It is most valuable where the material is regulated, commercially sensitive, or holds personal data, because that is where getting it wrong carries a cost beyond wasted effort.
